Studio Policies

  • All in studio services are 50 minutes in duration
  • Please bring your own towel and water bottle to each session
  • Grip socks must to worn in all sessions. We are socks available to purchase in studio
  • Wear comfortable exercise clothing
  • A 24 hour cancellation period applies for all our services
  • If you are running late for your class, we will hold your spot for 10 minutes. After that entry into the class will be at the instructor’s discretion
  • We happily accept reoccurring block bookings for semi-private sessions only
  • Group sessions are scheduled on a “first come, first served” basis. Online bookings open 3 months in advance with the exception of the Christmas Period. Please book in advance to avoid disappointment
  • All purchases are non-transferable and non-refundable
  • All sessions must be pre-booked & pre-paid. Payment is due & payable at the time of booking

Standard Cancellation Policy

  • If you are unable to attend your scheduled class and have given the minimum 24 hours notice, that class payment will not be deducted from your membership
  • Due to the small number of clients per class, any cancellations made within the 24 hour window, will result in 1 x session being deducted from your membership
  • Village Pilates may cancel group sessions if three or less people are booked in. We will inform you via email / sms / phone, at least 2 hours prior to the class
  • Instructors may change without notice due to unforeseen circumstances

Late Arrival Policy

  • If you are running late for your class, we will hold your spot for 10 minutes. After that entry into the class will be at the instructor’s discretion
  • This policy is in place to ensure you receive a proper warmup to optimise your workout

Makeup Sessions

  • Makeup sessions will be allocated to your account when you inform our team of unused session for the week. Please note this excludes any late canceled sessions
  • It is your responsibility to kindly inform our team, at the end of your billing cycle, of any unused sessions that you’d like us to change to a makeup session
  • Makeup sessions are valid for 4 weeks, this can not be extended

Waitlist Details

  • If group sessions are full you’ll have the option of joining the “waitlist”
  • Being on the waitlist means you don’t have a spot in the class
  • Our booking system will automatically inform you (by either email or text) if you have been moved off the waitlist and into the class. Please confirm if you will or will not be joining the class
  • The easiest way to view your booking status is via the Village Pilates St Ives app
  • 80% of the time clients on a waitlist end up with a spot in the class

  • If you call us and we miss your call, our virtual assistant, Betty, will reach out to assist you. Please note that Betty is not a human but she can help with some basic tasks

Communication via email and text

On creating a client account with us you agree to receiving emails and text about your account and your bookings/schedule. In addition, you will also receive emails in regards to your membership, studio updates, free workshops, events and newsletters that you can unsubscribe too at any time.

Weekly Memberships

  • Weekly membership are available for all session types
  • Weekly group session memberships can be used to attend reformer, mat, barre and dance only
  • Weekly semi-private memberships can be used towards semi-private sessions only
  • Memberships are billed weekly from the date your membership commenced
  • Memberships are only available as direct debits using a credit card or bank account
  • Memberships are non-refundable and non-transferable and are not redeemable for cash
  • If you fail to cancel your scheduled session outside of the 24 hour cancellation policy a session will be deducted from your weekly membership
  • Makeup sessions will be allocated to your account when you inform our team of unused session for the week, excluding any late canceled sessions

  • Memberships are paid in advance. If you fail to give Village Pilates adequate written notice via email, no refunds will be given once the transaction has been made

  • As of August 2023 payments are charged using Mindbody payments via stripe
  • If your account information changes (i.e. expired credit card) please be sure to update the information the next time you’re in the studio as there will be a charge for any declined / default payments
  • If there is a failed direct debit payment, Stripe may charge a dishonour fee. Please note that this is not a charge from Village Pilates and therefore Village Pilates can not refund this fee
  • To cancel this membership please advise Village Pilates, in writing, at least 72 hours before your membership is due to roll over.

4 Pack | 6 Pack | 10 Pack
Direct Debit Packs

  • As of April 6th 2024 we no longer sell 4, 6 or 10 packs
  • Direct debit memberships are setup through Mindbody payments via stripe
  • 4 and 6 Packs have a 1 month expiry. 10 Packs have a 3 month expiry
  • Payments will roll over on the day of your last scheduled visit or when your pack expires, whichever occurs first
  • If you are lucky enough to be jet setting around the world, we are happy to extend your packs expiry date. Please ensure you ask our friendly front of house team to action this for you
  • Village Pilates direct debit packs are non-refundable, non-transferrable, and are not redeemable for cash
  • Refunds based on change of mind, change of circumstance or simply forgetting to let us know will not be possible

Student Membership

  • 3 x weekly student memberships are available for reformer, mat, dance and barre classes only
  • To qualify for this membership, students must be studying full-time and aged between 16 and 25 years of age. Please provide our admin team with your student card and a form of ID that shows your date of birth
  • Student Membership are available to purchase in-studio only
  • This membership will need to be renewed at the start of each year
  • These memberships are billed weekly from the date your membership commenced
  • Memberships are only available as direct debits using a credit card or bank account
  • Memberships are non-refundable and non-transferable and are not redeemable for cash
  • If you fail to cancel your scheduled session outside of the 24 hour cancellation policy a session will be deducted from your weekly membership

Casual Purchases

  • As of April 6th 2024 we no longer offer casual 10 packs
  • Theses packs are not set up as direct debits
  • Casual 10 packs expire in 3 months
  • Casual packs are paid in advance. No refunds will be given once the transaction has been made
  • Refunds based on change of mind or change of circumstance will not be possible
  • Casual packs are non-refundable and non-transferable and are not redeemable for cash

Intro Offers / New Clients

  • Only new clients can claim intro offers
  • Maximum 1 x intro offer per new client
  • Our current 6 Group Sessions | 2 Wk Intro offer will expire 14 days after your first visit
  • An initial consult must be completed before starting semi-private sessions

Pregnant Clients

  • If you are experiencing any pregnancy related medical conditions please seek medical advise before starting Pilates
  • Generally speaking, if you have been practising Pilates before falling pregnant, you can continue sessions through out your pregnancy
  • For you and your babies safety please inform you instructor of your pregnancy
  • Group classes (reformer, mat and barre) are usually appropriate until 12-16 weeks. After that we recommend semi-private sessions, speak to our team for guidance
  • Every pregnancy is different, the above is general advise only
